These Terms and Conditions govern all entertainment bookings, performances, and services provided by Charter Music ("we", "us", or "our") across Australia. By confirming a booking or paying a deposit, the client ("you") agrees to these terms.
1. Booking Confirmation & Deposit
A booking is formally confirmed once the initial deposit specified in your proposal has been received and the performance agreement is executed. Dates cannot be held tentatively without a deposit, as artists are reserved exclusively for your event.
2. Payment Schedule
- Deposit: A non-refundable deposit is required upon booking confirmation to secure your date and artist allocation.
- Final Balance: The remaining balance is payable no later than 14 days prior to the event date.
3. Repertoire, Setlists & Custom Requests
Our artists provide curated sets tailored to your event aesthetic. For wedding ceremony bookings, custom-learned songs (such as aisle walks, registry signings, and first dances) must be submitted at least 30 days prior to the wedding date to allow adequate arrangement and rehearsal time.
4. Venue Access & Production Requirements
To ensure flawless performance delivery, the client or venue must provide:
- Safe, sheltered performance spaces protected from rain, moisture, and extreme direct sunlight.
- Adequate access for setup, sound checks, and line checks prior to guest arrival.
- Stable power supply (or advance notice if battery-powered off-grid sound production is required).
- Adherence to local council noise curfews and venue-specific dB limits (e.g., Byron Shire Council acoustic regulations).
5. Cancellations, Postponements & Rescheduling
- Postponements: In the event of a postponement due to unforeseen circumstances, we will apply your deposit to a mutually agreed new date within 12 months, subject to artist availability.
- Cancellations: Cancellations made within 30 days of the scheduled performance date require settlement of the full booking balance to compensate reserved performers.
6. Artist Replacement (Force Majeure & Illness)
In the unlikely event of severe artist illness, injury, or force majeure events preventing a performer from appearing, Charter Music guarantees an immediate replacement of equivalent professional caliber and style from our vetted agency roster.
7. Public Liability & Insurance
All Charter Music acts and sound engineers are covered by comprehensive Public Liability Insurance ($20M coverage) as required by luxury private estates and commercial Australian venues.
